How to organise a 3D asset library for 3ds Max

5 min read

Folder structure, naming, previews, 3ds Max version control, backups and proxies: a practical way to keep thousands of models findable, and what an in-Max asset manager changes.

Why a library gets out of control

It starts with a Downloads folder and a few chairs. A year later there are thousands of .max files, three copies of the same sofa, texture folders with names like "maps_final2" and no way to know which version of 3ds Max each file was saved in. The cost is not disk space: it is the minutes you lose in every project looking for something you know you have.

A library works when you can answer three questions without opening the file: what is it, which engine and which version is it for, and where are its textures. The rest of this guide is a structure that answers all three.

Folder structure: by category first

Organise by what the object is, not by where it came from or when you downloaded it. Archviz people search for a "sofa", not for a download date. A simple tree with two or three levels is enough:

  • Level 1: category, for example Furniture, Lighting, Decoration, Plants, Kitchen, Bathroom, Materials.
  • Level 2: subcategory, for example Furniture > Sofa, Chair, Table.
  • Level 3, only when needed: style or collection, for example Sofa > Modern.
  • One folder per model, with the .max, its maps folder and a preview image inside.

Do not go past three levels. A deep tree is slower to browse than a flat one with good names.

Names that sort and search

A file name should carry the information you would otherwise have to open the file to find. A pattern that works: category, name, engine, Max version, for example Sofa_Oslo_Corona_Max2021.max. Keep it to letters, numbers and underscores, with no accents, spaces or special characters, because some scripts and some network drives handle them badly.

Use the same pattern for the folder and the file. If the model has variants, add a number at the end rather than a word such as "final" or "new", which loses its meaning in a month.

A preview for every model

Looking at a thumbnail is faster than reading names. Keep a preview image in each model folder, with the same name as the .max. A 800 px render on a neutral background is enough. Do not count on Windows Explorer to show a thumbnail for .max files: it depends on the machine, so without a separate image you may be browsing blind.

Generate previews in batch with a render queue and a test scene with one light. It takes an afternoon for a few hundred models and pays for itself the first week.

Control the 3ds Max version

Files cannot be opened in a release older than the one they were saved in. If you work in 3ds Max 2021 and your library contains a file saved in 2026, it is a dead file for you. Record the oldest version your studio uses and make it the rule: save every new model in that version, and mark in the name any file that was saved in a higher one.

When you upgrade, do not resave the entire library. Save in the new version only what you open, and keep the originals until you are sure that nobody in the team depends on the old release.

Textures and proxies

Keep each model's textures in a maps folder next to the .max, and let the project reach them with a path that does not depend on a personal drive. Open Asset Tracking (Shift+T) on each new model: every entry should say Ok. If you keep a shared maps location, add it in Customize > Configure User Paths, under External Files.

Proxies deserve the same discipline. A V-Ray Proxy (.vrmesh) or a Corona Proxy (.cgeo) is a separate file that the .max points to. Store it in the model folder and check it in Asset Tracking. If you move the proxy without updating the scene, you will get a placeholder box at render time.

Backups that you can restore

A library is a work asset, and its loss is expensive. Follow the 3-2-1 rule: three copies, on two kinds of storage, one of them outside the building. A local disk, a NAS or an external drive, and a cloud copy is a reasonable combination.

A backup that you have never restored is only a hope. Once a quarter, pick a folder at random from the backup, copy it to a clean computer and check that the model opens, that Asset Tracking is clean and that it renders.

What an asset manager inside 3ds Max changes

Everything above is the cost of managing a library by hand: you build the tree, name the files, make the previews and fix the paths. An asset manager that lives inside 3ds Max removes most of it. You search, see the preview, filter by category and engine and import into the scene without leaving the program, and the maps arrive linked.

That is the idea behind the 3dskyhub plugin, which is still in development. Meanwhile you can apply the structure of this guide to your own files and to the packs you download, and move to a plugin the day it is available.

Frequently asked questions

How should I name 3D model files?
With a pattern that carries the key information: category, name, render engine and 3ds Max version, for example Sofa_Oslo_Corona_Max2021.max. Use letters, numbers and underscores only.
Should I organise models by category or by project?
By category in the library, and by project in your work folders. The library is what you reuse across projects, so it needs to be searchable by object type.
How many backups of the library do I need?
Three copies on two kinds of storage, with one outside your premises. Test a restore once in a while to be sure that models open and that their maps are found.
