How to merge a .max model into your scene and keep its materials

5 min read

Step by step: File > Import > Merge, duplicate names, missing textures with Asset Tracking, gamma, units and models saved in a different version of 3ds Max.

Merge or XRef: choose before you start

Merge copies the objects, with their materials, into your scene. After that, the model is yours: you can edit it, break it and save it, and the scene no longer depends on the original file. XRef keeps a live link to the external file instead. The scene stays light and a change in the source reaches every scene that references it, but you cannot freely edit what you reference.

For furniture, decoration and props that you place once and adjust, Merge is almost always the right choice. XRef makes sense for large shared elements, such as a building used in several shots or a proxy-heavy landscape. You will find it under File > Reference > XRef Objects and XRef Scene, and the exact names of the entries can change slightly between versions.

The basic procedure

Open the destination scene and go to File > Import > Merge. Pick the .max file. The Merge dialog lists every object in it. Select only what you need: a downloaded model can bring helpers, lights or a render setup along that you do not want in your scene.

After you confirm, the merged objects are selected and keep their original world coordinates. If the model was built at the origin, it lands at the origin of your scene. Move it into place straight away, while it is still selected.

  • File > Import > Merge, then choose the .max file.
  • In the dialog, use List Types and Sort to find what you need, and select only the geometry.
  • Check for lights, cameras and helpers that came with it and delete the ones you do not need.
  • Move the selection to where it belongs before you click anywhere else.

If the file is an entire scene and you only want one object, open it in a separate session and use File > Save Selected. You get a clean, small file to merge.

Resolve name conflicts

When an object in the file has the same name as one in your scene, 3ds Max shows a Duplicate Name dialog with the options Merge, Skip, Delete Old and Rename. The safe choice is Rename. Delete Old removes your own object and replaces it, which is rarely what you want.

The same happens with materials. The Duplicate Material Name dialog offers to use the merged material, use the scene material or rename the merged one. If a generic name such as "Wood" already exists in your scene, using the scene material makes the new model take on the look of your old one. Rename the merged material to keep the one that came with the model.

Both dialogs have an Apply to All Duplicates option. Use it with care: it makes one decision for every conflict, and a wrong one is hard to spot afterwards.

  • Objects: choose Rename unless you really want to replace.
  • Materials: choose to rename the merged material so you keep the model's own.
  • Layers: if a layer of the same name exists, merged objects join it. Check after merging.

Missing textures: Asset Tracking

After the merge, open File > Reference > Asset Tracking (Shift+T). Every bitmap, proxy and IES file used by the scene is listed with a status. If any entry says File Missing, the model stored a path that does not exist on your computer.

Select the missing entries, right-click and choose Set Path. Point it at the folder where you extracted the model's maps. If the path is a long one with a stale drive, Strip Path first removes the folder part and leaves only the file name, so that 3ds Max searches again in the folders you set. For a permanent solution, add your maps folders in Customize > Configure User Paths, under External Files.

Keep each model's maps in a folder next to the .max file. Then moving the folder never breaks anything.

Gamma and colour

A model can merge perfectly and still look washed out or too dark. Check the gamma settings in Customize > Preferences, on the Gamma and LUT tab, and make sure the scene and the model were prepared with the same convention. The most frequent setup is gamma 2.2 for input and output. Colour maps should be read with that gamma and data maps, such as normal, bump and roughness, without it.

Both Corona and V-Ray manage this in their own settings, and some versions of each handle it automatically. If a merged model looks different from its preview, compare one bitmap's gamma setting against a texture that you know is right.

Units and scale

If the System Unit of the file is not the one of your scene, 3ds Max shows a Units Mismatch dialog when you merge. Choose to rescale the file objects to the system unit of your scene. If you dismiss the dialog without choosing, the object may arrive a hundred times too large or too small.

Review Customize > Units Setup if the scale still looks wrong.

When the model comes from another version of 3ds Max

A file saved in a newer version of 3ds Max cannot be opened or merged in an older one. If you try, you will get an error or a warning that the file was made with a newer release. The reverse works: an older file opens in a newer version, and sometimes it asks you to update some materials.

For newer files, ask for a copy saved in an older version. Some versions of Max let you save a file as an earlier release from File > Save As, in the Save as type list, but only a few versions back, so it is not a guarantee. If nothing else works, ask for an FBX and rebuild the materials, which loses the original look.

Frequently asked questions

Should I use Merge or XRef for furniture and props?
Merge. It copies the objects and their materials into your scene, so you can edit them and the scene no longer depends on an external file. Reserve XRef for large elements shared between several scenes.
The merged model shows missing textures. What do I do?
Press Shift+T to open Asset Tracking, select the entries marked File Missing, right-click, choose Set Path and point to the folder with the maps. Use Strip Path first if the old path is long.
Can I merge a model saved in 3ds Max 2026 into 3ds Max 2021?
No. Files saved in a newer release cannot be opened or merged in an older one. Ask for a copy saved in an older version or for an FBX file, and prepare to rebuild the materials.
